We process your personal data to plan, organise and hold events (in-person, webcasts and other online events), including participant management and billing. For this purpose, we process the data provided during registration – including the billing address – in order to create personalised name badges, correctly charge the participation fee and issue an invoice/fee note, provide event documents and create and send confirmations of participation.
This also includes the management of registrations and participation in webcasts and online events, as well as the necessary communication (e.g. sending access data and organisational information).
Legal basis: Consent pursuant to Art. 6(1)(a) GDPR, performance of a contract pursuant to Art. 6(1)(b) GDPR, legitimate interest pursuant to Art. 6(1)(f) GDPR. Legitimate interest pursuant to Art. 6 (1) lit. f GDPR in the organisation of events, including participant management and the creation of participation confirmations, as well as ensuring smooth operational processes, including necessary organisational communications and follow-ups (e.g. sending access data, documents, confirmations).
Data categories: in particular contact details, company affiliation, position, company address, any other data voluntarily provided during registration.
Storage period: at least until a few weeks after the end of the event in order to complete the follow-up (e.g. invoicing/fee note, sending confirmation of participation, documents).
If there is potential for a business relationship, the data will be stored in our CRM system and retained for as long as we need it to maintain the business relationship.
Categories of recipients: Cloud Service Providers, IT service providers, PwC network companies.
Transfer to third countries: Some of our service providers are based in third countries. For some of these countries, an adequacy decision has been issued by the European Commission. If this is not the case, an adequate level of data protection has been achieved by concluding standard contractual clauses and, where necessary, additional safeguards.
Please note that photos and videos may be taken during events and subsequently distributed via various media (e.g. website, social media channels, print media); it cannot be precluded that individuals may be recognisable in these photos and videos.
Legal basis: Consent in accordance with Art. 6(1)(a) GDPR; legitimate interest pursuant to Art. 6(1)(f) GDPR in presenting business activities to the public in order to strengthen the company profile and promote networking.
Data categories: Photo, video and date, time and context of the recordings.
Storage period: 5 years from the date of recording or until consent is revoked.
